How to Evaluate a Real Estate Data Provider: 10 Questions You Should Always Ask

The real estate data provider decision is almost never urgent until it is. Most proptech teams pick their first data vendor quickly, under pressure to ship, without asking the questions that would have made a big difference six months later. Then the product scales, the gaps show up, and the cost of switching becomes part of the reason the problems do not get solved quickly. 

This post is a buyer’s guide, written for product leaders, engineering heads, and procurement teams who are evaluating a real estate data provider either for the first time or reconsidering their current one. The ten questions here are not about validating a sales pitch. They are about understanding what you are actually buying and what it will cost you in engineering time, compliance exposure, and product quality if the answers are wrong. 

Work through these questions before you sign anything. Most good vendors will welcome them. The ones that cannot answer them clearly are telling you something important. 

Real estate data has a specific quality that makes vendor evaluation more complicated than most software procurement: the problems are often invisible until you are deep into a build or a market expansion. A listing feed that looks complete in your primary market may have significant gaps in the secondary markets where your product needs to work. A data provider that seems RESO-compliant may have field completeness rates in certain property types that will break your application logic. A freshness claim that sounds impressive in the sales call may not reflect actual pipeline performance in your highest-demand markets. 

The questions below are designed to surface these issues before they become your problems. For each one, I will explain not just what to ask but what a strong answer looks like and what warning signs to watch for. 

This is the most important question on the list, and it is the one that gets glossed over most often. A vendor who says they have coverage across hundreds of MLS organizations has told you something, but not the thing you need to know. What you need to know is whether the specific MLSs serving the specific markets your product needs to work in are in their network, and whether the data from those MLSs is actually flowing, current, and complete. 

The difference between claimed coverage and verified operational coverage can be significant. A data provider may have a historical relationship with an MLS but a feed that has not been updated since a platform migration six months ago. They may have coverage in a metro area through an MLS that does not cover the suburban corridor where your users actually are. 

The provider should be able to show you a coverage map or coverage report that lists individual MLS organizations, their geographic footprint, their current feed status, and the date of the most recent successful data pull. This is not a summary document. It is an operational record, and any provider with serious infrastructure should maintain it. If they cannot produce MLS-level coverage detail, their coverage claim is broader than their operational reality. 

  Ask for the specific MLS names and identifiers for the markets you care about, not just a count. Then cross-reference those against the RESO certification map at reso.org/certification to verify those MLSs exist and are operating. A provider who cannot tell you exactly which MLS serves a given market is working at a level of abstraction that will cause you problems. 

The RESO Data Dictionary is the standard that defines field names, data types, and allowable values for listing data across MLS systems. When data is normalized to the Data Dictionary, your integration code can treat listings from different MLSs consistently without custom field mapping for each source. 

As of April 2025, all NAR-affiliated MLSs were required to certify against Data Dictionary 2.0, the current version of the standard. A provider whose normalization is based on an older version of the Dictionary may not support fields, enumeration values, or data structures that were introduced or standardized in 2.0.

The provider should be able to confirm whether their normalization layer conforms to Data Dictionary 2.0 specifically, and for what percentage of their source MLSs. They should also be able to tell you what happens to data from MLSs that have not yet reached full 2.0 certification. Is it normalized to an earlier version? Is it delivered with custom field mappings? Is it flagged so your application can handle it differently? A provider who says their data is RESO-compliant without specifying the version and coverage percentage is giving you a marketing answer, not a technical one.

Data freshness is not a single number. The update frequency a provider maintains for an active metro market where hundreds of listings change status every day may be completely different from what they maintain for a rural market with thirty active listings. And the freshness you need depends entirely on your use case. 

A consumer search product needs listing status changes, especially the transition from Active to Pending, to appear in your feed within minutes of the change at the MLS. An analytics dashboard may be perfectly well served by daily updates. An AVM needs comparable sales data refreshed frequently enough to reflect actual market conditions. These are different requirements, and a vendor who quotes a single average update frequency is not answering the right question. 

Ask for specific latency figures by market and use case, not a single average across the provider’s entire network. The key question is: what is the actual time between a listing status change at the MLS and that change appearing in your feed, in the specific markets you care about? Every MLS that provides data to a vendor does so under a specific licensing agreement that defines who can access the data, for what purposes, in what types of products, and under what usage conditions. There is no such thing as a single universal license for all MLS data. There are IDX agreements, which cover display of active listing data in consumer-facing search applications. There are VOW agreements, which cover registered-user access in transaction contexts. And there are BBO (Broker Back-Office) agreements, which cover non-display applications like analytics, AVMs, and backend infrastructure. 

The access type matters for you because the permitted uses differ. IDX data cannot be used for analytics applications. A vendor with only IDX-level access from certain MLSs cannot legally power your analytics product with that data, regardless of what they tell you about their coverage. 

The provider should be able to tell you, for any given MLS in your target markets, what access type their agreement covers and what usage terms apply to your product’s use case. If your product does any backend analytics, valuation, enrichment, or non-display processing with listing data, you need to confirm that the provider’s access agreements cover those applications. Ask specifically: is this data licensed for my intended use, and can you show me the agreement terms that confirm that?

Data quality in real estate is not a solved problem. Public records are county-sourced, which means their quality varies with the technology and staffing resources of thousands of different government offices. 

A vendor who tells you their data is clean has not thought carefully about this question. A vendor who can describe their quality monitoring and remediation process in specific operational terms has. 

You want to understand: what automated validation runs on incoming data before it reaches your feed? What are the alerting thresholds that trigger human review? How long does it take to detect and resolve a feed outage or quality degradation? What is the process when your team reports a data quality issue? Who do you call, what is the typical response time for investigation, and what is the escalation path if the issue is at the source MLS? Ask for a specific example of a data quality incident the provider has handled in the last six months. How it was detected, how long it took to resolve, and what process change resulted from it will tell you more than any general quality assurance policy statement. 

Many real estate data products need more than just MLS listing data. Ownership information, mortgage and lien records, tax assessment data, and deed transfer history all come from public records at the county level. There are more than 3,000 counties in the United States, and their data quality, update frequency, and access mechanisms vary considerably. 

A provider who offers listing data and public records from a single integrated platform is more operationally convenient than one who requires separate integrations. But coverage depth matters more than integration convenience: public records from 1,000 counties is a different product from public records from 3,147 counties, and the counties you are missing are often the ones where you need coverage for your specific use case. 

Ask for county-level coverage numbers rather than state-level aggregates. Ask how frequently deed, mortgage, and tax records are updated for each county in your target states. Ask whether permit history is available and, if so, from what percentage of counties. And ask how the provider links listing records to public records: what is the match rate, and what is the quality control process for ensuring the link is accurate rather than approximate?

Integration timelines are one of the most underestimated costs in a real estate data vendor relationship. A provider whose onboarding process takes six to eight weeks is not just slow, it is consuming engineering cycles that could be spent on product development, pushing launch dates, and introducing opportunity cost that rarely shows up in the initial vendor comparison.

After working through these ten questions, you will have a materially better picture of each vendor than their marketing materials would give you. To make comparison systematic, score each vendor on a simple three-point scale for each question: adequate, good, or outstanding. Weight the questions that matter most for your specific use case more heavily. 

For most proptech products, coverage and freshness (Questions 1 and 3) deserve the highest weight. For products with analytics or backend processing use cases, the licensing question (Question 4) deserves significant weight because a coverage gap or licensing mismatch there is not just a technical problem. The vendor who scores highest on the questions that matter most for your product is almost always a better choice than the vendor with the lowest price, the most impressive brand, or the longest customer list.
